Privacy Policy

TourneyPlace (“TourneyPlace,” “we,” “us,” or “our”) provides a web-based tool that helps club sports team managers and families coordinate tournament weekends — schedules, alerts, messaging, hotels, carpools, and sign-ups. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using TourneyPlace, you agree to this Policy.

Information we collect

Information you provide. When a manager creates an account, we collect their name, email address, phone number, and a password (which we store only as a secure hash). Managers and coaches add team members to a roster, which may include each member’s name, email address, phone number, role (parent, player, coach, or manager), and the player they are associated with.

Content you submit. We store the content you create in the app, including tournaments, games, facilities, announcements, messages and chats, poll questions and votes, carpool offers and claims, sign-up entries, and hotel and event details.

Information collected automatically. When you use the service we may collect limited technical and usage information, such as your device and browser type, IP address, and log data about actions taken in the app. We use your browser’s local storage to hold a session token that keeps you signed in.

How we use information

  • Operate, maintain, and provide the features of the service.
  • Authenticate you — parents and players sign in with a one-time email link; managers sign in with an email and password.
  • Send you service messages by email and, where a phone number is provided, by SMS — for example, game-change alerts, announcements, carpool updates, and sign-in links.
  • Respond to your requests and provide support.
  • Monitor, secure, and improve the service, and detect and prevent abuse.
  • Comply with legal obligations.

Text messages (SMS)

If you provide a mobile number, you may receive SMS messages related to your team’s tournament, such as schedule changes and announcements. Message frequency varies. Message and data rates may apply. You can opt out of SMS at any time by replying STOP, or reply HELP for help. We do not sell or share mobile numbers with third parties for their own marketing.

How we share information

With your team. TourneyPlace is a shared team tool. By design, other members of your team and its managers can see information posted to the team, such as the roster, schedule, messages, polls, carpools, and sign-ups, consistent with their role.

With service providers. We share information with vendors who process it on our behalf to run the service, including:

  • Supabase — database hosting and storage.
  • Twilio — sending SMS messages.
  • Resend — sending email messages.
  • Vercel — application hosting.
  • Google Maps Platform — facility and address lookup.

For legal reasons or business transfers. We may disclose information if required by law or to protect our rights, and in connection with a merger, acquisition, or sale of assets.

We do not sell your personal information.

Children’s privacy

TourneyPlace is intended for use by adult team managers, coaches, and parents or guardians. It is not directed to children, and we do not knowingly collect personal information directly from children under 13. Some team members (players) may be minors; their information is provided to us by their team’s managers or their parents/guardians, who are responsible for having the authority to provide it. If you believe a child’s information has been provided without proper authorization, contact us at privacy@tourneyplace.com and we will remove it.

Data retention

We keep your information for as long as your account or team is active, or as needed to provide the service, resolve disputes, and comply with legal obligations. You can ask us to delete your information as described below.

Security

We protect information using measures such as encryption in transit, hashed passwords, and role-based database access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

  • Update your information. Managers can update roster details in the app; ask your team manager to correct information about you.
  • Email and SMS. You can turn off non-essential email alerts in your settings, and opt out of SMS by replying STOP.
  • Access or deletion. You can request a copy of your information or ask us to delete it by contacting us at privacy@tourneyplace.com.

Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and significant changes may be communicated through the service.
